Keep the original wording
Make a list of the deck-related findings without replacing the report’s wording with your own diagnosis. Include the page number and photograph reference. Mark whether each item asks for repair, additional evaluation, or documentation. Those are different actions. If a finding is unclear, ask its author or intended recipient to clarify it before requesting a fixed repair price.
Confirm who needs which document
For an insurance request, ask the insurer what evidence, report type, signer qualifications, and delivery deadline it requires. For a home sale, clarify the parties’ requested repair scope with the people managing the transaction. Do not assume that a contractor estimate satisfies every request. Share a redacted copy when making an initial inquiry, leaving out policy numbers and unrelated personal details.
Match the proposed work to each finding
Ask the contractor to describe how the proposal relates to the numbered items. Identify findings outside the contractor’s proposed scope and any items that need another professional. Separate optional improvements from requested repairs so you can evaluate both clearly. Also document any inaccessible areas or conditions that may require investigation before the scope can be finalized.

- Requested completion evidence and its recipient.
Agree on closeout before construction starts
Decide which photographs, invoices, product records, or other documents will be retained at completion. Where another party must accept the result, confirm its process directly. Keep the final repair scope and any changes with the original report so the record is understandable later.
