Give every structure an identifier
Choose a consistent building, unit, and structure reference before collecting photographs or requesting estimates. A shared deck, exterior stair, and private balcony may need separate entries even when they serve the same building. Use the same identifier in file names, work orders, and contractor proposals. This prevents a repair photograph from being assigned to the wrong unit or a shared stair from being overlooked.

Record the concern and the evidence separately
Keep the resident’s report, the date received, and any photographs together. Distinguish an observed condition from an explanation that has not been verified. For example, a resident may report movement; that is not the same as an engineer determining the cause or capacity. Record who made each observation and any access limitation. If there is an immediate safety concern, follow your property’s response procedures and obtain appropriate professional advice rather than waiting for a routine record review.
Keep a usable work register
A spreadsheet or maintenance system can hold the summary while supporting documents remain in a linked folder. Assign a responsible person and a next action for every open item. Record dates based on actual events. If an insurer or authority has issued a deadline, retain the original notice and confirm the required response with that issuer.

- Concern reported, date, photographs, and source of the observation.
- Requested service and required report recipient.
- Assigned person, work order, and next action.
- Completion documents and remaining unresolved items.

Separate repair completion from official acceptance
Keep the contractor’s scope, approved changes, invoices, and completion photographs together. If a municipal inspection, engineering review, insurance response, or housing-program review is required, track it as a separate item. A completed repair invoice does not automatically demonstrate acceptance by another organization. Ask the requesting party what closes its file.
